POLICY
Regarding Interpreter Services

 

 

 


Lamar University provides Sign Language Interpreter services to students, faculty and staff for university sponsored events. The following provide policies for the effective use of interpreting resources.

Requesting Interpreter Services

One-time Request

Requests for interpreters must be submitted as early as possible or no later than: Two full working days for events taking place Monday through Friday 8:00-5:00 p.m. Three full working days for events taking place after 5:00 p.m. and on weekends. For example, if you are requesting services for 8:00 AM on a Tuesday, your request must be received by close of business on Friday of the preceding week.

Multiple Interpreters

Because of the time involved in arranging interpreting services for large events, requests for any activity requiring more than two interpreters must be submitted seven working days in advance.

Class Schedules

In order to provide for effective scheduling of interpreters (for classes) student/faculty schedules must be submitted ten working days before the first class day. For students registering after that time period, alternative communicative methods may be necessary until an interpreter can be scheduled.

Last Minute Requests

Every effort should be made to adhere to the above mentioned request guidelines. We do understand that there may be times when advanced notice is not possible. Please be aware that although every effort will be made to fulfill emergency requests, it may not be possible to

Request Forms

Request forms are available from the Department of Services for Students with Disabilities or from the secretaries in the Department of Communication Disorders and Deaf Education/Studies. The request form must be completed fully and accurately. Requests that are incomplete or unclear may be denied. Completed request forms must be submitted to the Department of Services for Students with Disabilities or the secretaries in the Department of Communication Disorders and Deaf Education Studies. All submitted requests will be stamped with the date/time received. With the exception of e-mail, request submitted in any other manner will not be accepted.

E-mail Requests

You may e-mail your request to the Interpreter Coordinator. Please obtain a copy of the request form and include all the appropriate information in your e-mail.

Interpreter Preference

The Interpreter Coordinator will attempt to schedule interpreters according to student/faculty/staff preference. Please note that due to scheduling conflicts, it may not always be possible to do so.

Scheduling Priorities

Every effort will be made to provide interpreters for each correctly submitted request. However, due to the shortage of interpreters, the Interpreter Coordinator may have to prioritize requests and fill those receiving higher priority. A higher priority is placed on a request that is directly related to academic classes and student support services. A lower priority may be placed on activities that relate to academic classes or student support services but are optional and can be rescheduled. If communication can be facilitated by the presenter or others in attendance without significant negative impact, or if communication can be expedited in another manner, the assignment may receive a lower priority.

The Scheduling Process

The Interpreter Coordinator attempts to assign interpreters based on individual communication needs, and the availability and reliability of appropriate resources. The Interpreter Coordinator reserves the right to make the final decision regarding interpreters for assignments. If the Interpreter Coordinator is unable to schedule an interpreter, you will be contacted to determine if your request can be rescheduled or if alternate communication can be utilized.

Changes/Cancellations

One of the most troubling aspects of scheduling interpreters is handling changes in times, locations, and drop/adds for class schedules. All changes must follow the advanced notice guidelines as explained in the Requesting Interpreter Services section of this document. Advanced notice must be given for all cancellations. This includes special events as well as regularly scheduled classes. You must notify the Interpreter Coordinator or the interpreter assigned to the class. Fai1ure to give advanced notice will result in the For the first failure to notify, a reminder letter will be sent. For the second failure to notify, a warning letter will be sent. Fir the third failure to notify, all interpreter services will be cancelled. For reinstatement of services, the student/faculty/staff will be required to meet with the Coordinator of Interpreting Services and the Director of Services for Students with Disabilities. Continued failure to give advanced notice of cancellation after reinstatement will require a meeting with Coordinators, Student Advisor and Chair of the Department of Communication Disorders and Deaf Education/Studies in order to determine further action.

No-Shows/Late Arrivals

Interpreters are instructed to arrive 10 minutes before the start of an assignment. However, circumstances beyond their control may prevent early arrival. Please refer to the instructions below before assuming the interpreter will not arrive: Wait 10 minutes for an event that lasts 0-1 hour. Wait 15 minutes for an event that lasts 1-2 hours. Wait 30 minutes for an event that lasts more than 2 hours. If an interpreter does not arrive or is late the student/faculty/staff is responsible for notifying the Interpreter Coordinator. The student must discuss with the professor whether to stay or leave the class. In the unlikely event that the interpreter is unavoidably detained, the student is still responsible for assignments and/or missed notes. The interpreter shall follow the same schedule when waiting for the Deaf person/s.

Off Campus Assignments

For off campus assignments, the host/site is responsible for providing interpreters. The student faculty/staff is responsible for notifying the site/host organization of the need for interpreter services directly and expediently. If the site/host organization is unable to arrange for interpreters on their own, a request form may be submitted to the Interpreter Coordinator at Lamar University following the advanced notice guidelines.

Role of the Interpreter

Interpreters are professionals who are responsible for facilitating communication between persons who are Deaf/hard-of-hearing and those who are hearing. Do not interfere with their work by trying to engage in casual conversation at inappropriate times. Any problems that you may encounter while working with an interpreter should be discussed with the Interpreter Coordinator.

Role of the Deaf Client

Remember it is YOUR sole responsibility to request an interpreter. Please do not assume that someone else will request an interpreter for you or that someone else will turn in your class schedule.
